Vendor Terms and Conditions:

Our aim is to delight our vendors and public attendees of our events and provide an enjoyable experience for the best possible outcomes.  The terms and conditions to guide vendor participation in our Great City Spring Vendor Fair,  and ChristmasFest Vendor Fair are below:

  1. This contract between the organizers and Vendors is limited to the rental of booth/tables at our Vendor Events.
Setup and Teardown
  1. The Vendor agrees to have their exhibit set up before the starting of the Vendor Fair at 10:30am on the day of the Vendor Fair.  Setup time is from 8:00am until 10:15am on the morning of the Vendor Fair.
  2. This Great City reserves the right to alter or change the space assigned to the Vendor.
  3. The Vendor agrees that no display may be dismantled, or goods removed during the entire run of the Vendor Fair but must remain intact until after the closing hour of the Show.
  4. The Vendor agrees to obtain insurance for their booth.  There are many options available to obtain insurance.  (An example of an insurance provider is Duuo.ca). All food vendors are responsible to obtain all relevant licenses and insurances to operate at an event including the necessary food-handlers certification.
  5. Vendors must leave a clean space at the end of their last day. No items shall be left on site.
  6. The Vendor also agrees to remove his/her exhibit, and equipment from the Vendor Fair before 6:30pm on the day of the Vendor Fair, or in the event of failure to do so, the Vendor agrees to pay for such additional costs as may be incurred to have the exhibit removed and stored for the vendor.
Your Vendor Space
  1. The Vendor agrees to confine his/her presentation to within the table or booth space assigned only.
  2. No Tape of any kind can be used on the floors
  3. Only masking tape or sticky tack can be used on the walls
  4. No staples, thumb tacks or tape can be used on the tables
  5. NO frying is allowed inside the buildings
  6. This Great City Inc. reserves the right at any time to alter or remove displays or any part thereof, including printed materials, product, signs, lights or sound, and to expel Vendors or their personnel if, in This Great City’s opinion, their conduct or presentation is objectionable or dangerous to other Vendor Fair participants, vendors and/or attendees.
  7. If you wish for additional lighting for your display please use battery operated lighting only, as there are limited electrical outlets.
  8. There is a $15.00 fee for electricity using regular indoor outlets.
  9. There is a $30.00 fee for food trucks that require electricity.
  10. Vendors agree not to sell any raffle tickets, event tickets or have any silent auction at the event Site without permission of the event director.
  11. The Vendor agrees to abide by all regulations and rules adopted by This Great City in the best interests of the Vendor Fair, and agrees that This Great City shall have the final decision in adopting any rule or regulation deemed necessary prior to, during, and after the Vendor Fair.
  12. This Great City reserves the right to alter or change the space assigned to the Vendor.
  13. Please pay attention to Fire Route signage around the buildings and do not park in these areas.
Additional
  1. The Vendor will indemnify and hold harmless This Great City Inc.  from any loss or damages whatsoever occurring to or suffered by any person or company, including, without limiting the generality of the foregoing, the Vendor, other Vendors, This Great City, the owner of the building and their respective agents, servants and employees and members of the public attending the Show, either on the said space or elsewhere if said loss or damages arose from or related to the Vendor’s occupancy of allocated space or participation in the Vendor Fair.
  2. The Vendor is required to share the event on your social media and tag This Great City in the post.  Vendors may also use the Vendor Fair logos and other marketing material to promote his/her participation at the Event.
  3. The Vendor agrees to receive e-mails and other electronic communications from ChristmasFest Vendor Fair, Spring Vendor Fair, or This Great City Inc. event, containing news, updates, promotions and special offers regarding our Vendor Fairs. The Vendor may withdraw this consent at any time.
  4. Any photographs or video collected by This Great City staff through applications and taken during the show can and may be used for advertising and promoting our events in the future on the website, TV, radio or print. By agreeing-to our terms and conditions , you agree to the use of any images or part of images taken at the show of you, your staff, your booth and products.
  5. No Refunds at any point. You may NOT ‘sell’ or give away your space to anyone else. Canceled space will be offered to the first party on the waiting list. Refunds will not be given regardless of whether your space is resold or not resold. The exhibit space selected is not guaranteed and may be reassigned based on the needs of the show.
